Job Summary: As the General Affairs Supervisor, you will lead and take ownership of a wide range of general affairs operations for Japan office. This includes managing office facilities, promoting employee health, safety, and well-being, and proactively handling vendor negotiations, issue resolution, and improvement initiatives. This role requires not only hands-on execution of daily tasks, but also strategic oversight, problem solving skills, and the ability to manage stakeholders and respond to employee concerns effectively. The role will be responsible for creating and improving policies, processes, ensuring compliance with legal & company regulations in alignment with the business decision and employee experience. Job Duties: Lead overall facility operations and ensure a safe, efficient, and comfortable working environment Lead office layout planning, maintenance of equipment and cleanliness Lead planning and implementation of disaster and fire prevention measures (e.g., evacuation drills, emergency supplies, fire safety inspections) Manage inventory and procurement of office supplies Supervise vendors for office equipment (e.g., vending machines, copiers), including reviewing contracts and proposing enhancements Serve as primary liaison with building management company for contracts, inspections, troubleshooting, and improvement proposals Lead the collaboration with the external general affairs vendor (BPO) Conduct regular performance reviews and meetings with vendors, partnering with procurement Drive service quality improvements and renegotiations with the external general affairs vendor Evaluate outsourcing scopes and assess potential for re-delegation Responsible for set-up of new partners/initiatives upon business needs Act as a single point of contact for general operational topics and inquiries from employees. Review and approve employee requests submitted via internal systems (e.g., facility use, company car etc.), ensuring compliance with company policies. Communicate process changes clearly and proactively to employees. Oversee the day-to-day general affairs operations and ensure timely and appropriate resolution of employee needs, maintaining a high standard of service Demonstrate ownership and accountability in managing general affairs processes Lead the company's safety and health activities including audit and its local committee Responsible for development, updating, and internal communication of BCP Establishing and conducting emergency response drills Lead local general affairs team and the external general affairs vendor (BPO) Responsible for local general affairs team development & work improvement, increase team productivity, supervision of the local general affairs assistant Take responsibility for managing company leasehold property and leased car. Job Responsibilities: Collect and analyze monthly sales forecasts (Excel) from each sales rep and DTC. Aggregate each forecast and load it into IBP in a timely manner, and check if the forecast is loaded properly. Develop comprehensive supply plans to fulfill demand and control inventory with SPI sheet. If any risk within the demand plan, review demand gap and supply plan, develop contingency plan to close the gap. Support Japan sales growth and innovation on developing, monitoring and changing of the demand plan. Based on forecast, customers' orders and inventory status, project supply plan and overview timely release of purchasing orders to suppliers. Develop contingency plans to mitigate risk when there's unexpected issue and delay. Coordinate with warehouse operations, supply chain analysts, the commercial team, and Finance to clearly communicate and align the demand plan throughout the organization. Prepare and maintain regular business performance reports Capable of designing KPIs for forecast accuracy, inventory etc. Provide analysis and reports as required in support of KPI improvement Prepare E&O report and provide action plans to reduce E&O. Job Requirements: Bachelor's degree or above 3-4 years in demand planning / supply chain management Working experience in international companies is preferred Knowledge of forecasting, strategic purchasing Skills in analyzing demand forecast. Business communication (meeting, negotiation, e-mail) in English Advanced Excel. Word, PowerPoint SAP(ECC) The annual base pay range for this position is from JPY 5M to 7M. Salary will be based on prior experience related to the skills required for this position.
